  • Identity and contact information, such as your name, email address, telephone number and postal address where relevant.

  • Technical and usage information, such as your IP address, browser type, device information, referring website, pages viewed and interactions with the website. Some of this information is collected only where you have consented to non-essential cookies.
  • Security and anti-spam information, including technical information processed to protect our forms and website against misuse, fraud and automated submissions.

We normally collect personal data directly from you. We may also receive business contact information from referrals, clients, partners or publicly available professional and business sources where it is lawful and appropriate to do so.

We do not intentionally collect special-category personal data through this website. Please do not provide sensitive personal information in a contact form unless it is necessary and we have agreed that you should do so.

Our website and services are intended for business users and adults. We do not knowingly collect personal data relating to children.

4. How we use personal data

We may use personal data to:

  • respond to enquiries, consultation requests and other communications;
  • take steps at your request before entering into a contract;
  • provide, manage and improve our services;
  • manage relationships with clients, prospective clients, suppliers, partners and professional contacts;
  • provide requested guides, resources or information;
  • administer newsletter subscriptions and other marketing preferences;
  • operate, maintain, secure and improve our website;
  • understand how visitors use our website, where analytics consent has been provided;
  • prevent spam, fraud, abuse and security incidents;
  • maintain financial, contractual and business records;
  • establish, exercise or defend legal claims; and
  • comply with legal, tax, regulatory and professional obligations.

We do not sell or rent personal data.

5. Lawful bases for processing

UK data protection law requires us to have a lawful basis for each use of personal data. Depending on the circumstances, we rely on one or more of the following:

  • Consent: where you have made an informed choice, for example by consenting to non-essential analytics cookies or subscribing to particular communications. You may withdraw consent at any time.
  • Contract: where processing is necessary to enter into or perform a contract with you, including taking steps at your request before entering into a contract.
  • Legitimate interests: where processing is necessary for our legitimate business interests or those of another organisation, and those interests are not overridden by your rights. These interests include responding to business enquiries, developing business relationships, operating and securing our website, improving our services and communicating appropriately with business contacts.
  • Legal obligation: where we must process information to meet legal, regulatory, accounting or tax requirements.

Where we rely on legitimate interests, we consider the purpose, necessity and possible effect of the processing on the individuals concerned.

6. Marketing communications

We may send newsletters or other marketing communications where you have consented, where the law otherwise permits us to do so, or where we have a legitimate interest in communicating with an appropriate business contact.

We apply the requirements of UK data protection law and the Privacy and Electronic Communications Regulations to electronic marketing. Different rules may apply to individual subscribers, sole traders and contacts at limited companies or other corporate organisations.

You can unsubscribe at any time by using the unsubscribe link in a marketing email or by contacting compliance@mavents.co. Withdrawing from marketing will not affect service, contractual or administrative communications that we still need to send.

7. Cookies, analytics and website security

Our website uses cookies and related technologies. Necessary technologies may be used to operate and secure the website. Non-essential analytics technologies are used only where the required consent has been obtained.

We use Google Analytics 4 to help us understand website usage where analytics consent has been provided. We also use Google reCAPTCHA to help protect forms against spam and automated misuse. These services may process technical information such as IP address, browser, device and interaction information.

Further information about the cookies and technologies used, their purposes, duration and how to change your preferences is available in our Cookie Policy.

8. Sharing personal data

We may share personal data with trusted organisations where this is necessary for the purposes described in this policy. These may include:

  • Salesforce, which we use for customer relationship management, lead administration and the processing of website enquiries;
  • Google, in connection with Google Analytics and Google reCAPTCHA;
  • website hosting, content management, maintenance, security and technical-support providers;
  • email, communications, document-storage and business-administration providers;
  • professional advisers, including legal, accounting, tax and insurance advisers;
  • consultants, associates and subcontractors who need information to assist in providing services and who are subject to appropriate confidentiality and data-protection obligations;
  • public authorities, regulators, courts or law-enforcement bodies where disclosure is required or permitted by law; and
  • a prospective buyer, seller or adviser if our business or assets are reorganised, sold or transferred, subject to appropriate confidentiality protections.

Service providers acting on our behalf may use personal data only for the agreed purposes and in accordance with our instructions, contracts and applicable data protection law.

9. International data transfers

Some of our service providers, including Salesforce and Google, operate internationally. This means that personal data may be accessed from or processed in countries outside the United Kingdom, including the United States.

Where personal data is transferred outside the UK, we take steps to ensure that the transfer is lawful and that the information continues to receive an appropriate level of protection. Depending on the destination and provider, these measures may include:

  • transfers to countries covered by UK adequacy regulations;
  • the UK International Data Transfer Agreement;
  • the UK Addendum to the European Commission’s Standard Contractual Clauses;
  • another safeguard recognised under UK data protection law; and
  • appropriate transfer-risk assessments and additional technical or organisational protections where required.

You may contact compliance@mavents.co if you would like further information about the safeguards relevant to a particular transfer or information about how to obtain a copy of them.

10. Data retention

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including any legal, accounting, regulatory, security or reporting requirements.

Our normal retention periods are:

  • General enquiries and prospective-client information: up to 24 months after the last meaningful interaction, unless a business relationship develops or there is another reason to retain the information.
  • Client, supplier, contractual and financial records: for the duration of the relationship and normally for up to seven years afterwards, where needed for legal, tax, accounting or contractual purposes.
  • Newsletter and marketing records: until you unsubscribe, withdraw consent or we determine that the information is no longer current. We may retain limited suppression information so that we can respect an opt-out.
  • Website security and technical logs: normally for up to 12 months, unless information needs to be retained for longer to investigate a security incident or comply with a legal requirement.
  • Analytics information: according to the retention periods and settings described in our Cookie Policy and analytics configuration.

We may retain information for longer where this is necessary to establish, exercise or defend legal claims, respond to a regulatory matter, investigate fraud or security concerns, or comply with a legal obligation.

When personal data is no longer required, we will delete it, securely destroy it or anonymise it so that it can no longer identify an individual.

11. Your data protection rights

Depending on the circumstances and the lawful basis used, you may have the right to:

  • request confirmation that we process your personal data and receive a copy of it;
  • ask us to correct inaccurate or incomplete personal data;
  • ask us to delete personal data in certain circumstances;
  • ask us to restrict how personal data is used in certain circumstances;
  • object to processing based on legitimate interests;
  • object at any time to the use of your personal data for direct marketing;
  • receive certain personal data in a structured, commonly used and machine-readable format, or ask for it to be transferred to another controller, where the right to data portability applies;
  • withdraw consent at any time where processing is based on consent; and
  • complain about the way we handle your personal data.

Your right to object: You have the right to object at any time to processing for direct-marketing purposes. You may also object to other processing based on legitimate interests. If you object, we will stop the relevant processing unless we have compelling legitimate grounds to continue or the processing is needed for legal claims.

These rights are not absolute and may be subject to legal conditions or exemptions. Withdrawing consent does not affect processing that took place before consent was withdrawn.

To exercise a right, email compliance@mavents.co. There is normally no charge. We may ask for information reasonably necessary to confirm your identity and protect personal data from unauthorised disclosure.

We will respond without undue delay and normally within one calendar month. The response period may be extended where permitted by law, for example if a request is complex or multiple requests have been made. If an extension is needed, we will explain this to you.

12. Automated decision-making

We do not currently use personal data to make decisions based solely on automated processing that produce legal effects or similarly significant effects for individuals.

13. Data security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, accidental loss or destruction.

Access to personal data is limited to people and service providers who have a legitimate need to use it. Those processing information on our behalf are subject to appropriate confidentiality, security and data-protection obligations.

No internet transmission or information-storage system can be guaranteed to be completely secure. If we become aware of a personal-data breach, we will assess and manage it in accordance with applicable legal requirements.

14. Third-party websites

Our website may contain links to websites operated by other organisations. We are not responsible for their privacy practices. You should review the privacy information provided by those organisations before submitting personal data to them.

15. Complaints

If you have a concern about how we use your personal data, please contact us first at compliance@mavents.co so that we can investigate and try to resolve it.
